Duties: The Clerk 3, under general supervision, is responsible for front line office reception, operating a telephone system, two way radio communication system, processing incoming and outgoing mail and responding to telephone and in person inquiries and confidential complaints. This position provides a broad range of support for the various programs administered by the department including license and permit sales and balancing and depositing of revenue received. This position maintains file management within the area office using electronic and manual filing systems and is responsible for a range of administrative, financial, organizational and secretarial support to staff. Other responsibilities include time entry on SAP, ordering office supplies, participation on committees, maintaining various databases and updating Policies and Procedures manuals.
Qualifications: Grade X1 plus 4 years experience or an equivalent combination of training and experience may be acceptable. Proficiency in a computerized environment (word processing, database and spreadsheet management, email and internet usage). Knowledge of the department/government financial processes and policies. Familiar with many department/government programs, regulations, statutes and procedures. A high level of diplomacy, tact, confidentiality and professionalism is required. Candidate must have exceptional secretarial and organizational skills and the ability to communicate (verbal and written) effectively and diplomatically, exercise considerable initiative and judgment ,meet deadlines under pressure, prioritize tasks, recognize and respond to urgent situations, facilitate effective radio communication and interpersonal relationships with many different individuals and levels of government and work independently with minimal supervision. Working knowledge of time entry on SAP would be considered an asset.
An offer of employment is conditional upon the completion of all applicable background checks and confirmation of credentials, the results of which must be satisfactory to the employer.
Pay Grade: CL 18
